Work Orders · one record per job
Property Preservation Work Order Software
In CrewBaseHQ the Work Order is the record. Scope, crew assignment, field photos, estimates, review, and the money owed in both directions stay on the same job — so the office isn't rebuilding it from texts and spreadsheets at closeout.

The problem
A job is only as good as the record behind it.
Preservation Work Orders change hands several times: intake, crew assignment, field work, photo review, and billing. Each handoff is a chance to lose a photo, a bid item, or the note that explains why the work was done the way it was.
CrewBaseHQ keeps those handoffs on one Work Order that the office and the assigned crew both work from — each with the access their role needs.
On the Work Order
What stays attached to the job.
Scope and due dates
The client, property, line items, instructions, and due date are captured when the Work Order is created or received, and stay with the job.
Assignment
The office chooses the crew — from Crew Book, a connection, a Guest Work Order, or an Open Crew Bid. Nothing is auto-assigned to a stranger.
Field photos and evidence
Crews upload required photos from the phone. Before You Leave checks flag missing items while the crew is still on site.
Estimates and bids
Estimates and bid items are attached to the Work Order instead of living in a separate inbox thread.
Ready for Review
A rules-based readiness check shows what still blocks the package before the office treats it as ready to submit.
Operational AP/AR
After review, the office can see what the client owes and what the crew is owed for that job. CrewBaseHQ is not a payment processor.
Crews
The crew sees the same job on a phone.
Assigned crews open the Work Order from a free Crew account: instructions, access notes, required photos, and payment status after the office reviews the work. They don't see other crews, client pricing, or the company's internal notes.
Need to manage the crews themselves? Read about vendor and crew management or the full property preservation software overview.
Common questions
Can we import Work Orders from a client portal?
Work Orders are created in the Office workspace by your team. CrewBaseHQ does not log in to third-party client portals on your behalf or pull work from them automatically.
Does Ready for Review mean the client accepted it?
No. Ready for Review is a readiness check inside CrewBaseHQ. Client or servicer acceptance happens in their own systems.
Is there a free trial?
No. Office plans start at $89/month. Crew accounts are Free Forever and do not count as Office users. See pricing.
Put the whole job on one record.
CrewBaseHQ is software for the office. It does not sell property preservation labor.
